Key Responsibilities:
Contract Management
-
- Assist in reviewing customer contracts, NDAs, teaming agreements, and purchase order terms.
- Support drafting simple contract documents and revisions under supervision
- Independently conduct initial reviews of terms and conditions and summarize key points or potential issues for senior staff to evaluate.
- Assist in preparing and routing contract modifications, change orders, and amendments for approval
- Maintain organized compliant contract files, coordinate documentation updates and contribute to audit readiness by ensuring records are accurate, complete and accessible.
- Monitor and update customer e-commerce portals and the internal ERP system to support order processing, internal process flows, and reporting requirements.
- Support contract closeout by reviewing documentation for completeness, updating ERP/portal records, and preparing files for final archival.
Government & Regulatory Compliance
- Experience in a manufacturing environment.
- Familiarity with DoD or NASA contracts.
- NCMA certification (CFCM, CCCM) or working toward certification.
- Experience with subcontract administration and supplier-flow-down requirements.
- Security clearance eligibility (if applicable).

- Ability to identify potential risks and communicate those risks to senior team members for vetting and mitigation, and to support mitigation activities by taking notes, updating systems, and assisting with related internal communications.
- Ability to support contract negotiation activities through preparation, note-taking, and professional communication with customers under supervision.

- Ability to translate legal language into operational guidance
- Assist in verifying compliance with regulations such as FAR, DFARS, ITAR, and other applicable federal regulations under guidance from senior team members.
- Support the preparation and distribution of flow-down requirements to suppliers.
- Help compile and maintain export compliance documentation and associated records.
- Provide administrative support internal and external audits, including gathering requested documentation.
Proposal & Business Development Support
- Assist in reviewing RFP/RFQ requirements and help prepare proposal documents under guidance from senior staff.
- Support the creation of RFP/proposal compliance matrices and risk assessments.
- Assist in pricing review coordination with Finance.
- Assist senior staff during contract negotiations with government agencies and commercial aerospace customers by preparing materials, taking notes, and tracking action items.
Cross-Functional Program Support
- Partner with Program Management to monitor funding status and contract performance.
- Use customer portals and internal software tools to input data, update records, and help track deliverables, milestones, and payment terms.
- Identify potential scope changes and bring them to the attention of senior staff, support documentation of changes under guidance from Program Management or Contracts.
- Support contract closeout activities and final documentation.
Required Qualifications
- Bachelor's degree in business, Finance, Supply Chain , or related fields
- 5-10 years of contract administration experience (aerospace or defense preferred).
- Familiarity with FAR-based agreements and a basic introductory understanding of the Federal Acquisitions Regulation and its supplements.
- Exposure to fixed-price and cost-reimbursable contract types through coursework, internships, or entry-level eperience.
