Logistics Dispatcher (Operations + Reconciliation Support)
Role Purpose
The Logistics Dispatcher exists to plan, coordinate, and control daily logistics operations so trucks, drivers, and equipment move safely, legally, and efficiently in support of Burns Logistics projects.
This role functions as the operational command center for logistics execution—owning daily dispatch performance while ensuring that all load activity is accurately captured, documented, and reconciled to support payroll and billing workflows.
Success in this role means:
- Haul plans are accurate and executed reliably
- Drivers are supported and informed
- Disruptions are managed early
- Ticket and dispatch data are clean, complete, and trustworthy
Core Responsibilities
Operational Control & Execution – Build for More
- Own daily dispatch execution for assigned hauling operations
- Build and release accurate daily haul plans prior to start of operations
- Maintain control throughout the day, adjusting for weather, breakdowns, jobsite delays, or staffing gaps
- Balance productivity, safety, and customer commitments in all dispatch decisions
- Set clear expectations for drivers at the start of each shift
- Protect the Burns Logistics brand through disciplined, reliable execution
Planning & Coordination – Own It
- Build daily haul plans aligned with job priorities, permits, and fleet availability
- Confirm driver readiness, truck availability, and jobsite requirements before dispatch
- Anticipate constraints and proactively adjust plans to prevent delays or missed loads
- Coordinate with Operations Managers, Project Teams, and customers on sequencing and priorities
- Ensure drivers understand routes, schedules, and expectations before rolling
Production & Efficiency – Raise the Bar
- Monitor load progress, cycle times, and truck utilization throughout the day
- Minimize idle time, deadhead miles, and unplanned downtime
- Maximize loads per truck within safety and legal limits
- Identify inefficiencies and communicate improvement opportunities
- Support consistent, predictable daily production outcomes
Communication
- Maintain clear, consistent communication with drivers throughout the shift
- Provide timely updates to Operations leadership on production, delays, and issues
- Communicate plan changes quickly and accurately
- Escalate problems early with context and proposed solutions
Documentation, Ticketing & Reconciliation Support
- Accurately input load and ticket data into dispatch systems in real time
- Ensure all loads, delays, and exceptions are documented completely and correctly
- Review haul tickets daily for completeness, accuracy, and alignment with dispatch records
- Reconcile tickets against dispatch logs to identify:
Missing tickets
Duplicate entries
Load count discrepancies
Incorrect job or location data - Flag and communicate discrepancies quickly to drivers, dispatch, or operations
- Support same-day or next-day ticket reconciliation to maintain data integrity
- Maintain organized ticket records for traceability, audits, and reporting
👉 Key expectation: Dispatch data and ticket records must be accurate enough that payroll and billing can operate without rework.
Logistics Administrative Support
- Support the Logistics Administrator in maintaining clean and organized load documentation
- Assist with tracking and organizing ticket flow across multiple jobs and customers
- Help maintain standardized processes for ticket handling and system usage
- Support data cleanup and system accuracy within dispatch platforms
- Contribute to improving dispatch and reconciliation workflows
Compliance & Data Integrity Support
- Ensure dispatch and ticket records align with company, job, and DOT requirements
- Support documentation readiness for audits, payroll verification, and billing validation
- Identify and elevate documentation gaps that could impact financial or operational accuracy
- Follow established processes for recordkeeping and system usage
What This Role Owns
- Daily dispatch execution and control
- Accuracy of dispatch data and load records
- First-pass accuracy of tickets entering payroll and billing workflows
- Real-time visibility into production and issues
Success Looks Like
- Daily haul plans are released on time and executed with minimal disruption
- Drivers are supported and rarely confused about assignments
- Missed or incorrect loads due to dispatch are extremely rare
- Ticket discrepancies are identified and resolved quickly—not downstream
- Payroll and billing teams trust dispatch data without needing rework
- Operations leadership has confidence in daily execution and reporting
