We are seeking a proactive, high-capacity Executive Assistant to serve as a trusted strategic partner to the CEO. This is not a traditional support role—it’s a high-impact position responsible for maximizing the CEO’s effectiveness through calendar ownership, communication triage, execution support, and relationship coordination. The ideal candidate is confident, detail-oriented, emotionally intelligent, and energized by keeping a fast-moving leader focused and in momentum.
Key Responsibilities:
Executive Operations & Communication
- Own and manage the CEO’s calendar, meetings, travel, and day-to-day logistics.
- Filter and triage all email, Teams, and communication channels; draft, escalate, or resolve as appropriate.
- Prepare concise briefing materials and meeting context; ensure the CEO enters every engagement informed and on time.
- Draft and manage internal and external communication on behalf of the CEO (excluding executive-level comms).
- Take notes and execute follow-ups for key client, team, and vendor meetings—especially lunches and relationship-building events.
Strategic Support
- Maintain the CEO’s Notion system, EA dashboard, and 'Week Ahead' plans.
- Lead logistics and coordination for recurring executive, division, and strategic meetings.
- Proactively identify gaps, anticipate needs, and resolve issues before they escalate.
- Support special projects including internal culture programs, training initiatives, external committees, and the CEO’s projects.
Culture & Relationship Management
- Coordinate care touches, team gifts, onboarding intros, and milestone recognitions.
- Plan 3–5 lunch meetings per week and bi-weekly relationship-building trips to Tupelo.
- Represent the CEO in scheduling, client comms, and vendor interactions with professionalism and warmth.
Qualifications:
- Proven experience (5+ years) supporting a senior executive, preferably in a fast-paced, entrepreneurial, or C-suite environment.
- Exceptional organizational, time-management, and communication skills.
- High emotional intelligence with a service mindset and excellent judgment.
- Mastery of calendar and travel management, executive communication, and internal workflow systems (Notion, Google Workspace, Teams).
- Confidence to make decisions, act autonomously, and escalate only what’s necessary.
- Comfortable using AI tools (ChatGPT, etc.) to increase efficiency.
