Job Description:

Airbus Helicopters is looking for an Administrative Assistant with at least three years of administrative experience to join our Aircraft Production team in Columbus, MS.

In this role you will perform a variety of administrative functions to support the day to day functions of the production staff and directly support the Manager of Industry. You will be responsible for general office administration, travel administration and reporting.

Your working environment:

On the eastern border of Mississippi you’ll find Columbus, home to our Helicopter manufacturing and assembly lines and Center of Excellence for the entire North America region. It’s here that we produce the UH-72A Lakota Helicopters for the U.S. Army in addition to the H-125 aircraft for civil and commercial customers.

Your challenges:

General Office Administration: 60%

  • Process invoices and purchase requests in a timely manner.

  • Monitor operational budget spending and cost allocations through detailed reporting to management.

  • Maintain departmental documents and records as the administrator.

  • Order, maintain, and issue office supplies for production personnel.

  • Screen incoming calls.

  • Coordinate with other departments and outside vendors.

  • Manages calendars and assist with appointments

  • Assist with special events when needed.

  • Update and monitor headcount reports and organizational charts.

  • Schedule and monitor use of conference rooms.

Travel Administration: 30%

  • Arranging detailed travel for multiple individuals within the department.

  • Processing travel claims.

  • Manage calendars and assist with appointments

  • Assist with special events when needed.

Reporting: 10%

  • Compiles information to produce reports when needed.

  • Assist in preparation of operational budgets.

  • Creates presentations.

  • Coordinates administrative activities with Executive Admin Assistant when necessary

Your Boarding Pass:

  • Must possess a High School Diploma or equivalent

  • Must have at least three (3) years of administrative experience.

  • Proficiency using computers/computer programs

  • Familiarity with Google Suite

  • Must be authorized to work in the US

Preferred Education/Skills:

  • Some college (2 years)

  • Vision: able to see and read computer screens and other electronic equipment with screens, able to read documents, reports and engineering drawings. 100%

  • Hearing: able to participate in conversations in person and via teleconference or phone and to hear sounds on the production floor including safety warnings or alarms. 100%

  • Speaking: able to speak in conversations and meetings, deliver information and participate in communications. 100%

  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts. 100%

  • Carrying: able to carry documents, tools, drawings, electronic equipment up to 30lbs/14kgs. Several times a week

  • Lifting: able to lift documents, tools, drawings, electronic equipment up to 30lbs/14kgs. 15%

  • Pushing / Pulling: able to push and pull small office furniture and some equipment and tools. 10%

  • Sitting: able to sit for long periods of time in meetings, working on the computer. 90%

  • Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving. 50%

  • Standing: able to stand for discussions in offices or on the production floor. 10%

  • Travel: able to travel independently and at short notice. 0%

  • Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas including uneven surfaces. 100%

  • Personal Protective Equipment required: Required PPE includes, but is not limited to, Safety Shoes, Safety Glasses, Hearing Protection, Respirators/Masks, and/or Protective Gloves as required by site and/or customer site

  • Administrative position only PPE required: Steel-toed shoes are required for all shop floor visits, appropriate hearing/eye protection may also be required when visiting the shop floor.
